Terms and Conditions

Advance Payment: A non-refundable 20% advance payment of the total trip cost is required to confirm your booking. This deposit secures your place and is non-refundable under any circumstances, except as outlined in the cancellation policy below.
Balance Payment: The remaining 80% of the trip cost must be paid at least 30 days prior to departure. For bookings made within 30 days of departure, full payment is required at the time of booking.
Payment Methods: We accept payments via bank transfer, Visa, MasterCard, or cash (for in-person payments in Nepal). A 4% surcharge applies to credit card payments due to bank fees.
Payment Responsibility: You are responsible for any fees charged by banks or third parties for payment processing. Mardi Treks is not liable for refunding such fees.

By the Client:
- Cancellations made 30 days or more before departure: The 20% advance payment is non-refundable, but the remaining paid amount will be refunded, minus any non-recoverable costs (e.g., permits, flights).
- Cancellations made less than 30 days before departure: No refund will be issued.
- Written notification of cancellation is required, and the effective date is when Mardi Treks receives the notice.
By Mardi Treks:
- If Mardi Treks cancels a trip due to reasons other than force majeure (e.g., natural disasters, government restrictions), you may choose:
  - A substitute trip of equivalent or higher value at no additional cost.
  - A substitute trip of lower value with a refund of the price difference.
  - A full refund of all payments, including the 20% advance.
- Mardi Treks is not responsible for incidental expenses (e.g., visas, non-refundable flights) incurred due to cancellations.

No refunds will be issued for unused services, such as early trip termination due to personal or health reasons.
Refunds for cancellations by Mardi Treks will be processed within 7–10 business days via the original payment method.
Non-refundable items include the 20% advance payment, amendment fees, and third-party charges (e.g., flight or permit fees).

Amendments to your itinerary (e.g., date or destination changes) are subject to availability and a USD 50 amendment fee if requested 30 days or more before departure. Amendments within 30 days may incur cancellation fees.
Mardi Treks reserves the right to modify itineraries, accommodations, or transportation due to unforeseen circumstances, with no liability beyond offering a comparable alternative or refund.

Travel Documentation: You are responsible for obtaining valid passports, visas, and other required documents. Passports must be valid for at least six months beyond the trip’s end date.
Health and Insurance: Comprehensive travel insurance covering medical emergencies, trip cancellations, and adventure activities is strongly recommended. Mardi Treks is not liable for medical costs or losses due to lack of insurance.
Conduct: Clients must comply with local laws and the instructions of Mardi Treks’ guides. Unlawful behavior may result in removal from the trip without refund.

Mardi Treks is not liable for delays, cancellations, or disruptions caused by force majeure (e.g., natural disasters, strikes, or flight cancellations). Clients are responsible for additional costs incurred, such as extended stays.
Adventure activities carry inherent risks. Clients participate at their own risk, and Mardi Treks is not liable for injuries or damages, provided reasonable care is taken.

These terms are governed by the laws of Nepal. Any disputes will be resolved in the courts of Kathmandu, Nepal.
